About the Role
The Client & Mission: Our client is an elite, disruptive strategy venture. We’re currently supporting them on their transition from a high-burden solo advisory practice into a structured, scalable commercial enterprise.
To power this transition, we are building a lean, highly coordinated, automated by design back-office engine.
The Role: We’re seeking a brilliant, ultra-responsive Fractional EA & Operations Manager to help build the back-office rhythms needed to scale the enterprise. Working alongside the client and the Pay As You Go COO, you’ll play a key part in building and running the central operational engine that keeps the business organised, high-velocity, and focused on growth. You’ll protect the client’s time through proactive diary, inbox, and senior stakeholder triage. You’ll also coordinate high-touch event logistics alongside the events lead, build and maintain the central contact database, build and run email campaigns, and help to establish Asana as the central system for managing projects and deliverables.
The Setup: A part-time, project-based engagement working closely with the Pay As You Go COO Founder (Milly) and utilising our operating frameworks.

Job Description
This is not a traditional, slow-paced administrative role. Because you’re working fractionally across all five working days, your focus will be on high-impact, high-frequency coordination. You will be the central operational cog that keeps the client focused on grand strategy while ensuring that everything that supports that strategy runs flawlessly.
Your responsibilities will span four key pillars:
1. High-leverage diary & focus management
Time blocking: Actively block out and protect continuous focus blocks in the client’s schedule for deep strategic writing and high-value client work.
Calendar coordination: Help to set up an automated discovery call system and confidently manage and coordinate diaries with external PAs and very senior figures.
Schedule enforcement: Act as the operational gatekeeper, helping enforce focus and preventing the client from getting pulled into non-priority and/or uncompensated advisory tasks.
2. Executive inbox triage & high-level communication
Inbox management: Filter, prioritise, and manage the client’s primary email account, flagging critical actions and, in some cases, drafting high-quality, professional responses.
High-value stakeholder interaction: Communicate confidently, professionally, and with high emotional intelligence. You will frequently be the first point of contact for very senior figures.
3. Event logistics
Physical event support: Work directly alongside the events coordinator to support high-touch physical gatherings (such as breakfast, dinners, and private roundtables). Please note that you’ll need to be able to attend some of these events, which will primarily be held in London and may take place outside of standard office hours.
Logistics coordination: Source and secure venues, coordinate bespoke catering requirements, and manage on-site details.
RSVP tracking: Manage guest lists, dispatch invitations, and systematically track RSVPs to ensure elite hospitality.
4. Junior Operations & Tech Administration
Database build & management: Work alongside us and our tech team to consolidate and maintain the client’s network of 400+ contacts into a single, clean, and highly queryable database.
Email campaigns: Learn and run the client’s email newsletter engine. This includes segmenting audience lists and dispatching high-priority, real-time, event-triggered thought-leadership papers immediately following global events, as well as coordinating recurring newsletters.
Asana project coordination: Work alongside Milly to set up and manage operational projects, timelines, and tasks in Asana and to ensure the broader team stays aligned on milestones.

Eager to learn: You don’t need to be an expert on our tools today. Milly will provide full, step-by-step training and mentorship on every single digital tool you’ll use.
Engagement Details
Format: Part-time, project-based engagement. We anticipate approximately 2 days (16 hours) per week (Monday to Friday) over an initial 4 month period, with flexibility around how that time is structured.
Reporting to: Founder of Pay As You Go COO. Working closely with the client on a day-to-day basis.
Location: Remote (Flexible), with close coordination with the team. Some travel to London and very occasional travel to the client’s site (South West England) will be required.
Timeline: This engagement will start as soon as the right person is found.
Terms
This engagement is offered at a guide rate of £250 per day (plus VAT where applicable), depending on experience and suitability for the brief. Because this is a collaborative delivery between yourself and Pay As You Go COO, the engagement is managed under our umbrella.
Our fee structure is simple: we retain 15% of the day rate to cover project governance, senior operational oversight, mentorship, client relationship management, sourcing the engagement and access to our operating frameworks and delivery methodologies. This structure ensures the client receives a high-quality, joined-up operational engagement while providing you with ongoing support, guidance and escalation cover throughout the project.
