  • The Client & Mission: A newly-formed philanthropic foundation, based in West Africa, that works closely with some of the world's largest brands. The foundation's aim is to significantly improve conditions across the depth of their vertical's supply chain.


  • The Role: This role acts as the central administrative and operational engine during a critical phase of transition. Operating as a trusted support to the CEO and CFO, you will seamlessly blend daily operational coordination with the end-to-end management of the foundation's active recruitment pipelines. Ideally bilingual in French and English, you will be responsible for building internal tracking systems, streamlining communications across international time zones, and successfully migrating recruitment operations from external incubation into a centralised, sustainable internal process.

Job Description

Key Responsibilities

1. Talent Operations & Recruitment Coordination

Process Mapping & Transition: Learn, document, and map the existing recruitment workflow currently managed by a third party. Transfer recruitment trackers, candidate profiles, and supporting documentation into the foundation's systems.

Pipeline Management: Maintain a single, crystal-clear central view of all open roles, candidate pipelines, and hiring statuses. Track actions, timelines, and next steps across multiple concurrent hiring processes.

Candidate & Interview Logistics: Coordinate interviews, manage candidate communications, and act as the primary administrative point of contact. Proactively chase interview feedback from internal stakeholders to ensure rapid progression.

Reporting: Produce simple, data-led recruitment reports and pipeline updates for leadership.

2. Day-to-Day Operations Coordination

Onboarding & Offboarding: Coordinate setup, equipment allocation, and basic IT access requests with the external IT providers for new team members.

Supplier & Team Support: Act as the first point of contact for routine operational queries from the wider team. Assist with maintaining accurate organisational records and administrative supplier relationships.


Candidate Profile

Essential Criteria:

Proven Coordination Background: Prior experience as an Executive Assistant, Operations Coordinator, Talent Coordinator, or Project Coordinator - ideally within a fast-moving startup, entrepreneurial setting, or international NGO.

Execution: Highly organised with airtight attention to detail. You are someone who takes pride in ensuring nothing falls through the cracks and can effortlessly juggle multiple workstreams.

Tech: Strong working knowledge of Microsoft 365 (Outlook, Teams, Word, Excel, and SharePoint) and experience implementing or maintaining digital trackers/CRM/ATS systems.

Stakeholder Management: Comfortable and poised when communicating with senior executives, external suppliers, and high-profile candidates.

Desirable Criteria:

Bilingual Fluency: Exceptional written and verbal communication skills in both French and English (non-negotiable, as you will interact regularly with West African operations and UK/international partners).

Experience working in social impact spaces or international organisations across multiple countries.

Experience coordinating remote teams across different time zones.


Out of Scope (What this role is NOT)

The following are explicitly out of scope:
Candidate sourcing, proactive talent acquisition strategy, and executive search.
Compensation modelling, salary benchmarking, and organisational design/workforce planning.


Engagement Details

Format: Part-time, project-based engagement. We anticipate the role requiring approximately 3 days per week over an initial three-month period, although there is flexibility around how those days are structured.

Reporting to: Founder of Pay As You Go COO. Working closely with the client leadership team on a day-to-day basis.

Location: Remote, with flexibility required to support international meetings across varying time zones. Occasional in-person meetings may be required, in London.


Terms

This engagement is offered at a guide rate of £400 per day (plus VAT where applicable), depending on experience and suitability for the brief.

Because this is a collaborative delivery between yourself and Pay As You Go COO, the engagement is managed under our umbrella. Our fee structure is simple: we retain 15% of the day rate to cover project governance, senior operational oversight, mentorship, client relationship management, sourcing the engagement and access to our operating frameworks and delivery methodologies.

This structure ensures the client receives a high-quality, embedded operational leadership experience while providing you with ongoing support, guidance and escalation cover throughout the project.
